To UBC Member Cities, Commissions and Executive Board members
Dear UBC-colleagues,
As Chair of the UBC Task Force on Commission consolidation; I would like to inform you about our forthcoming work and time table.
But first to inform that the TF consists of following persons: Heiki Hansen, City of Elva; Lukas Wedemeyer, City of Kristiansand; Soren Revsbaek, City of Naestved; myself as well as Pawel Zaboklicki, UBC Secretary General, as ex officio member.
The mandate and task of our TF is clear: The Mariehamn General Conference “obliged the Executive Board to reach a decision during 2014, so that starting from 1.1.2015 the UBC shall have between five to seven Commissions which start to be operative from that date. The old Commission structure ceases to be in force on the same date.”
The President and Board nominated our Task Force to work out a proposal so that the Växjö Board meeting (29 – 30 October 2014) can take a decision on this issue.
Taking into account this deadline, and the need to continue active dialogue with Member Cities, Commissions and the Board, I have proposed to the TF members the following rough outline for our work:
End of June
TF letter to Member Cities and Commissions (this message)
5 September
Deadline for new proposals from Cities and Commissions
all previous ones will be taken into account by the TF)
Week 15 – 19.9
One day meeting of the TF
By 30 September
Draft proposal of the TF circulated to Member Cities, Commissions and Board members for comments
15 October
Deadline for answer-back comments from Cities, Commissions and Board members on draft proposal
22 October
Final proposal to the Board by the TF
29 – 30 October UBC Executive Board, Växjö
Possible second meeting of the TF (if necessary)
Board decision on Commission consolidation and on operational details about how the new Commissions start to work (membership, if need be constituent meetings, office holders etc)

New Commission structure will start to operate
The Växjö Board meeting should also entrust the Presidium to decide about the allocation of UBC contributions to the new Commissions well before the end of 2014, thus allowing smooth beginning of the Commission work.
Dear representatives of Member Cities and Commissions, Board members;
On behalf of the Task Force, I encourage you to share your opinions on the forthcoming Commission structure by sending your proposals and ideas to the Secretariat (Pawel Zaboklicki) by 5 September 2014. All earlier proposals (which you find for example in the UBC website, see the link below) will automatically be taken into account by the Task Force.
